About The Role

We are seeking a highly organised and proactive individual to join our Facilities Management Team as the FM & HSE Administrator on a fixed term contract for 12 months.  This role will work across our Estates & Facilities team, assisting in the hard/soft facilities services (maintenance, cleaning, security and H&S).
 
In this role you will:
  • Maintain effective communications, interventions and record keeping across the designated areas.
  • Update fire marshal lists and chase fire safety training records to ensure compliance for the HSE Advisor.
  • Ensure FM and Engineering contractors calendar is updated and maintained to plan maintenance, projects and site visits.
  • Update internal workflow trackers and create line items, monitor, control the progress of these works to ensure works are planned in daily using the service planner.
  • Maintaining SOPs as directed by Facilities Manager & HSE Advisor.
  • Work with procurement owners to ensure at on-boarding stage all relevant HSE compliance documentation is in place for reference and audit.
  • Using various software to create scheduled service visits for our maintenance team and sub-contractors to meet expectations and company objectives, ensuring regulatory compliance and asset management.
  • Manage puchase orders accurately and timely.
  • Sharepoint management for the Facilities team.
  • General admin duties.

About You

The ideal candidate will have/be:
 
  • NVQ or equivalent qualification in Business Administration - preferable.
  • Proven previous administration experience - essential.
  • Proven ability to work in a busy visitors centre - essential.
  • Proficient in Microsoft Office - word, excel, outlook, PowerPoint, teams and Microsoft Planner app - essential
  • Effective interpersonal skills and customer service - essential.
  • Proven ability to plan, organise and manage own time - essential.
  • Ability to work in a busy environment - essential.
  • Proven attention to detail - essential.
